Cruise Trek The following information will help you book your Cruise Trek Adventure properly and with minimal effort. Please read all the information carefully before completing the reservation form. You will be receiving periodic Cruise Trek Updates, which will keep you informed of all the breaking news for your Cruise Trek Adventure. Approximately 2 to 4 weeks prior to sailing, your cruise e-documents will be sent to you. In this package will be a guide that includes information on what to pack, a list of available shore excursions with prices, phone numbers for the ship, and much more. We will also send you a “document letter” which will explain the pertinent details and, of course, which guests will be sailing on Cruise Trek. All guests are subject to change; announcement of guests will be made when available. Due to the sensitive nature of negotiations and possible changes with the guests, it’s difficult to discuss this over the phone/email. Booking and/or sending deposit constitutes understanding and acceptance of all terms and conditions herein set forth by the applicable cruise line and Cruise Trek. Cruise Trek is not responsible for any inaccuracies by third party web sites and/or written or posted comments by third parties. Cabin prices vary by the category and type of accommodations you select. There are inside cabins (without a window), outside cabins (with a window), Verandah Staterooms and above have verandahs. (I) TWO PERSONS SHARING SAME CABIN: Double occupancy means two passengers share one cabin. Two invoices and thus booking forms can be processed where necessary/appropriate. (II) TRIPLE AND QUAD OCCUPANCY: If three or four or five people wish to share the same cabin, they may book under this plan. These rates are the most economical. One person may collect all the monies and send them in at one time with each person’s name or they can be sent individually. Please let us know if you would like one invoice or individual invoices (provide appropriate addresses). The first two passengers pay the double occupancy rate then the 3rd, 4th, and/or 5th passenger(s) pay the 3rd/4th/5th rate. Divide the total by 3, 4 or 5 to get the per person cabin cost. (III) TREK SHARE (TS) FARES: This plan is for Trek passengers who are sailing on Cruise Trek by themselves and wish to share a cabin with someone else they do not know at time of booking. Specify the TS category of your choice and indicate the occupancy you desire. Be sure to check the box that says Trek Share. You will be matched with members of the same sex. Trek Share cabin assignments will be done at the time of issuance only and are subject to change. Trek fans that smoke are not to do so in the cabin unless roommates permit it. We will try to match you with fans of similar age whenever possible. If you have a condition that would prevent you from climbing a small ladder to the upper berth, you’ll have to work this out with your roommates upon boarding. Most fans are understanding and cooperative. If this is a problem, you may wish to book plans I or IV. TS fares are not applicable for nor with children. Those Trek Shares requests with medical or other issues will be booked subject to CT determinations. For this longer cruise TS cabins are available in double occupancy only. (IV) SINGLE OCCUPANCY: This is for those of you who wish to occupy a cabin alone. Pricing is 200% of the applicable PP fare less $250. (V) PHYSICALLY CHALLENGED (PC): There are a limited number of specially-equipped cabins for the physically challenged. Bathrooms for PC cabins have shower only. Please contact the CT office for availability. CHILDREN’S DISCOUNT/RATE: Children (age 3-10) pay $200 less. But must be the 3rd, 4th and/or 5th in the cabin. CT discounts are not available on these rates. For infants or children under two please call the CT office. PORT CHARGES, TAXES, & GRATUITIES: Port charges. and taxes are additional . . . they are $453 per person. Gratuities will be added to your invoice, thus pre paid and ranging from $172.50 to $225 pp. If the price of oil rises – at the discretion of the cruise line they may add a fuel surcharge to each passenger. All subject to change. PAYMENT INFORMATION & additional fees (all subject to change and/or increase): There is a foreign booking charge of $60 per foreign residence or APO address ($35 per Canadian residence). Air booking $50 pp, Air Deviation $75, online registration/check in $50 pp, Refunds $30 per, no email $75, and special requests and/or changes are subject to $25 min. Payments may be made by check, money order, or major credit card – Visa, Master Card, American Express, and Discover. Checks are to be made payable to Cruise Trek, in US dollars only, and drawn on a US bank. Sorry, no exceptions. There is a $50 charge for returned checks. Any fees or charges related to check or wire payments will be charged back to your invoice. PERSONAL PAYMENT PLAN: For your convenience, we will be offering a payment plan with no service charge. To calculate your payments, simply deduct your deposit from your total amount due, and then divide the balance by the number of months remaining before the full payment date. The payment plan is flexible. For instance, you may either double or triple up on payments or skip a few months. Or you may devise your own plan. If you would like to take advantage of our “Auto Pay Plan” simply fill out the payment coupons (they will be sent with your original invoice) and return them to the Cruise Trek office with the plan of your choice. We will process these each month. All pricing is in US Dollars. FULL PAYMENT IS DUE July 1, 2012. You can still book after these dates – but pricing may be increased and/or availability may be very limited if not sold out. Pricing is subject to change prior to receipt of deposit only. CANCELLATIONS, REFUNDS, INSURANCE, OTHER DISCLAIMERS AND CHANGES: If you should cancel outside of one year to sail date or after booking, a $100 per person cancellation fee will be assessed; between 12 and 9 months prior, $300 per person; between 9 months and 6 months, $400 per person; between 6 months and the final payment date the amount of the deposit will be assessed; there are no refunds after full payment due date. Also, after the full payment due date, all invoices will be subject to a charge of at least $50 per person for any changes. To protect against cancellation penalties, Trip & Cancellation Interruption Insurance is available and strongly recommended. As a requirement of the Cruise Trek Program, the signed Insurance waiver (which will accompany your invoice) is due in the Cruise Trek office upon receipt of your invoice and no later than the full payment due date. Travel documents will not be released and your booking is subject to cancellation unless we receive this waiver. Cruise Trek reserves the right to change CT event schedules, programs and structure and claims no responsibility to cruise line changes or conditions. Cruise Trek reserves the right and at its sole discretion to refuse service and/or entry to the events to anyone who is not suitable, safe or in line with our mission to provide a positive, family, friendly environment while boldly exploring new cultures and different parts of our world. Cruise Trek will also refuse service to those who are not agreeable to the structure, terms and conditions either implied or stated as they benefit the mission and the “whole.” In sending your deposit you then agree to all terms, conditions and structures of Cruise Trek. IDENTIFICATION REQUIREMENTS: Currently for US Citizens Passports are required. Please make sure that your passport is valid for at least 6 months after completion of your cruise or trip. All travel documents, such as passports, visas, proof of citizenship, etc., required for embarkation and debarkation at the ports of call and reentry into your country of residence, are the responsibility of the passenger. Your proof of citizenship must be presented prior to boarding the ship. You may be denied boarding without proper identification and cancellation fees will be applied. AIRFARE: Online travel sites such as Travelocity.com, Expedia.com, or Travelzoo.com are excellent resources. If you have a good air agent – they are invaluable.
